Protection of personal data of everyone involved in the European Jamboree 2020 is one of the key goals of the Jamboree organising team.

Związek Harcerstwa Polskiego, The Jamboree Organisation use your personal data, in the following purposes: 

  • We will use the personal data of participants provided in the registration form (including information on special needs and the participant’s diet) and data collected during the Jamboree and in connection with its course. We will use this personal data to: provide participation in the Jamboree, ensure the participant’s safety and health during the Jamboree, including providing the participant with access to healthcare, storing the Jamboree documentation, in order to get in touch with parents or guardians on important matters regarding the participant (including to inform parents or guardians of an accident or illness of a participant). The legal basis for the use of the participant’s personal data to ensure its safety and health is explicit consent (legal basis provided for in Article 9 (2a) of the GDPR). The legal basis for using the participant’s personal data to contact parents or guardians in important matters concerning the child is to protect the vital interests of the participant (legal basis provided for in Article 6 (1d) of the GDPR).
  • In addition, we use the participant’s personal data to defend against claims for damages against the person or property of the participant (legal basis provided for in Article 6 (1f) and Article 9 (2f) of the GDPR).
  • In addition, we use the participant’s image so that we can develop photographic documentation of various aspects of the Jamboree, as well as educational, informational and promotional materials and that we may disseminate these materials. The legal basis for perpetuating the child’s image for this purpose is our legally legitimate interest (Article 6 (1f) of keeping records of Jamboree and its dissemination for this purpose – your consent (Article 6 (1a) of the GDPR).
  • In order to perform statutory accounting obligations and obligations of the taxpayer of income tax from legal persons in the scope of proper documentation of tax deductible costs; the legal basis for processing of personal data is the legal obligation to which ZHP is subject (Article 6 (1c) of the GDPR); the data will be stored for 5 years from the end of the calendar year in which the tax payment deadline has expired; 
  • In relation with the European Jamboree 2020 Volunteers: In order to implement the volunteer agreement concluded between ZHP and the volunteer; the legal basis for this data processing is necessity for the performance of a contract to which the data subject is party (Article 6 (1b) of the GDPR); the data will be stored for three years after the expiration or termination of the agreement; 
  • In relation with the European Jamboree 2020 Volunteers: In order to take out casualty insurance for the Volunteer providing services to; the legal basis for this processing of personal data is the legal obligation to which ZHP is subject (Article 6 (1c) of the GDPR); the data will be stored for three years after the end of the provision of volunteer services; 
  • In relation with the European Jamboree 2020 Volunteers: In order to ensure the volunteer the safe and hygienic conditions of the voluntary work provision, including appropriate personal safety measures determined by the type of services provided and the related hazard; the legal basis for processing personal data is the legal obligation to which ZHP is subject (Article 6 (1c) of the GDPR); personal data will be stored for 10 years after the end of services; 
  • In relation with the European Jamboree 2020 Volunteers: In order to cover the cost of business travel and per diems; the legal basis for processing of this personal data is the legal obligation to which ZHP is subject (Article 6 (1c) of the GDPR); the data will be kept for three years since the cost was incurred; 
  • In relation with the European Jamboree 2020 Volunteers: In order to perform statutory accounting obligations and obligations of the taxpayer of income tax from legal persons in the scope of proper documentation of tax deductible costs; the legal basis for processing of personal data is the legal obligation to which ZHP is subject (Article 6 (1c) of the GDPR); the data will be stored for 5 years from the end of the calendar year in which the tax payment deadline has expired; 
  • In relation with the European Jamboree 2020 Volunteers: In order to introduce special supervision over the place of performing services by volunteers in the form of technical means enabling image registration (monitoring); the legal basis for this processing of personal data is the legitimate interest of ZHP (Article 6 (1f) of the GDPR), consisting in ensuring the safety of persons, property protection and secret information, disclosure of which would harm ZHP; this data will be stored for 3 months since the date of image registration; 
  • In relation with the European Jamboree 2020 Volunteers: In order to develop photo documentation of various aspects of the Jamboree, as well as educational, informational and promotional materials and that we may distribute these materials. The legal basis for recording your facial image for this purpose is our legitimate interests (Article 6 (1f) of the GDPR), which consists of providing documentary of the European Jamboree 2020. The legal basis for distributing your facial image for this purpose is your consent (Article 6 (1a) of the GDPR). 

Disclosure of personal data: 

  • We will disclose your personal data with the entitles cooperating with the Jamboree Organisation (ZHP) in organising the European Jamboree 2020 under data entrustment agreements, including Marcato Digital Solutions Inc., which handles registrations for the event. The data will also be made available to offices providing accounting services to ZHP, as well as to public authorities authorised to obtain such data in connection with the proceedings. 

Rights of a data subject: 

Due to the fact, that ZHP process your personal data, you have the right to:  

  • obtain from the controller confirmation as to whether or not your personal data is being processed, and, where that is the case, get access to your personal data and the relevant information related to the processing of your personal data (on the basis of Article 15 of GDPR); 
  • demand rectification of your personal data when it is inaccurate, incomplete or outdated; 
  • demand deletion of all or some of your personal data if: you have objected to the processing on the grounds of legitimate interests pursued by the controller, or your personal data is no longer necessary in relation to the purposes for which they were collected or have been unlawfully processed; 
  • demand restriction of processing your personal data (pursuant to Article 18 of GDPR) for the time necessary to decide on the legitimacy of your request to delete or certificate your personal data or for the time necessary for establishment, exercise or defence of your legal claims;  
  • object to processing of personal data on the basis of the legitimate interests pursued by the controller (Article 21 of GDPR); in such a case, ZHP shall stop processing of your personal data in this purpose, and, if there is no other legal basis for the use of this data, we will remove it.  
  • You have also the right to withdraw your consent given to ZHP to process your personal data, at any time. In order to do so, you shall contact ZHP or our Data Protection Officer. The withdrawal of your consent does not entail any negative consequences, in particular, it cannot constitute a reason justifying refusal to conclude an agreement. You have also right to submit a complaint to the President of the Personal Data Protection Office, Stawki 2, 00-193 Warsaw.  The complaint may be completed electronically, in writing or orally to the protocol in the Personal Data Protection Office seat.
